Submission Guidelines

SWOOP is distributed every Tuesday during the academic year. SWOOP is link-based, so please be sure your submission includes a link to a page within the UNCW website and ensure the page includes complete and accurate information about your submission. Submitted events must be open to all of campus. SWOOP is a newsletter for faculty and staff, news or events meant for the student audience will not be included.

SWOOP is guided by UNCW Policy 07.200.14 Mass Emails, which limits the use of SWOOP to announcements and updates regarding university business. With more than 2,300 faculty and staff conducting hundreds of research projects, community engagement activities, surveys and more each year, individualized project requests and/or promotion of individual efforts of faculty/staff cannot be accommodated.

Regular SWOOP ends for the semester on May 13. SWOOP Lite, a pared-down version of regular SWOOP, is distributed biweekly during summer hours. The SWOOP Lite summer 2025 dates are:

The submission deadline is 5 p.m. the Thursday before the edition you would like your item to appear in.

Announcements will run once as a “new” item and again as a “reminder” (if applicable). Requests for additional coverage will be handled on a case-by-case basis.
