Party Room Reservation
In order to rent the party room at the clubhouse, the homeowner/resident must be in good standing with the POA. This means the associated property must not have any outstanding POA dues, must not have any ongoing covenant violations, and must not have their rights to the amenities suspended.
The homeowner/resident named as the responsible party on the party room rental agreement form shall be held responsible and accountable for the facility use and shall be held liable for any costs to the Sienna Estates Property Owners Association for any necessary maintenance or repairs due to damage arising from improper or negligent use of the facility. Homeowner/resident must remain at the clubhouse for the duration of their party rental.
Maximum number of guests is 50.
The Sienna Estates POA Reserves the right to expel from the clubhouse and common property any members and guests who are not conforming to the rules and regulations or causing undue commotion. Clubhouse renters are reminded that the clubhouse is in a residential neighborhood. It is expected that renters will treat the property with respect.
The Sienna Estates resident 'renter' is held responsible for the actions of their guests.
There is NO SMOKING of any kind allowed inside the Sienna Estates Clubhouse or inside the gated pool area. There are smoking receptacles located outside the front entrance to the clubhouse and outside the pool gate for your convenience.
There is absolutely no drug use of any kind tolerated on the premises inside or outside the building or in any of the common areas belonging to the Sienna Estates Property Owners Association.
Do NOT prop the clubhouse door open. A propped open door costs the POA money as a drain on the electricity for the door management system as well as increased costs for heating and air conditioning. The open door also attracts flies and other insects. Use the green button to the left of the door to allow your guests entry.
No alcoholic beverages or glass containers allowed in the gated pool area.
Children under the age of 16 must be supervised at ALL TIMES. Do not allow children to abuse the furniture, climb onto/inside cabinets, or hang-on, slam, or otherwise abuse the French doors. Children are not allowed to use any of the fitness equipment including fitness machines and free weights.
No pets of any kind allowed in the clubhouse or pool area.
Do not stand on the folding chairs. There is a step ladder next to the refrigerator in the kitchen.
You need to vacate the party room at the designated time. Parties are often booked back to back. *** Party guests must vacate the clubhouse no later than 11:30pm.
CLEAN UP AFTER YOURSELVES. Please use this checklist as a reminder of what needs to be cleaned after your party. Cleaning supplies are located under the kitchen sink. The broom is located next to the refrigerator and the vacuum is located next to the kitchen.
Return all furniture to their original locations.
Wipe down all tables and chairs
Thoroughly clean the kitchen.
Take all the trash to the dumpster out front.
Check the bathrooms and pool deck for any trash.
Vacuum and sweep all areas used by your party.
Do NOT leave leftover party supplies in the kitchen, refrigerator, or cabinets.
Clean the windows and French door window panes of all the hand and face prints. Glass cleaner is under the kitchen sink.
Make sure you clean up all items and food from the pool deck area.
TURN OFF ALL LIGHTS.
The POA is not responsible for any items left at the clubhouse, pool, playground or any other common areas.
Renter agrees to hold the POA harmless should any liabilities, claims or causes of action take place as a result of the renter's use of the facility. The POA shall not be held liable for any damages, loss or injuries to residents and guests during the event.
NOTE: Your clubhouse rental provides exclusive use of the party room and kitchen. All other areas, such as the gym and the pool, are available for community use. Party guests must not access the gym. You are responsible for the actions of your guests.
YOUR PARTY ROOM RENTAL RESERVATION IS NOT CONFIRMED UNTIL WE RECEIVE YOUR PAYMENT OF THE PARTY ROOM RENTAL FEE AND YOUR ACCEPTANCE OF THE TERMS OF THIS PARTY ROOM RENTAL AGREEMENT.
Rental Fees:
$20 for 2 hours
$30 for 4 hours
$10 for each additional hour
Beginning April 1, 2021 all clubhouse reservation cancellations made less than 7 calendar days in advance of the scheduled event will result in the forfeiture of your reservation fee. Fees paid for any reservations made less than 7 calendar days in advance of the function will be non-refundable.
***Your reservation includes the time to set up/decorate and clean up when it's over so plan accordingly when determining how much time you need for your reservation.
ADDITIONAL FEES THAT MAY APPLY:
Trash left in clubhouse: $10
Damages to clubhouse, furniture, or equipment: Cost to repair/replace
Leaving lights on: $10
Party guests accessing the gym: $15
Propping the clubhouse doors open: $50
Pets inside the clubhouse or pool area: $50
Smoking inside the clubhouse or pool area: $50
Alcoholic beverages/glass containers inside the pool area: $50
Failure to complete cleaning checklist tasks: $20
Failure to vacate the party room at your reserved time: $15
Cancellations less than 7 calendar days prior: Forfeiture of room rental fee.
Homeowners/residents should be aware that the clubhouse is under surveillance at all times. You will be notified via email of any violations of this rental agreement and associated charges to your POA account. Keycards will be disconnected until the fines are paid.
**Resident keycards will be deactivated until any assessed fees are paid in full.
***Party room rental is a privilege afforded to residents with the understanding that the renter will adhere to the policies laid out in the rental agreement. And as such, the POA is under no obligation to accept future rental requests from those who violate the agreement.
